Photography studio booking — sessions, packages, and the post-shoot workflow

Photography is a session-and-deliverable business. The booking is just the first step; the real work happens after — culling, editing, delivery, follow-up. Most booking software focuses on the booking; photographers need software that handles the full pipeline.

What photographers specifically need

The booking step:

  1. Long session bookings (1-4 hours typical)
  2. Deposit at booking (25-50%)
  3. Package-based pricing (session + X edits + prints)
  4. Location coordination (studio vs on-location)
  5. Time-of-day flexibility (golden hour, etc.)

The post-booking pipeline: 6. Contract signing 7. Pre-shoot questionnaire 8. Shoot delivery (gallery / proofs) 9. Selection / approval 10. Final delivery 11. Print / album orders

Booking software handles 1-5. The full pipeline often requires CRM-adjacent tools.

Common platform stacks

The “all-in-one photographer” tools:

PlatformBookingContractsGalleriesCost
HoneyBookLimited$390-1,000/yr
Studio NinjaLimited$228-600/yr
Iris WorksLimited$300-600/yr
TaveLimited$300-720/yr
PixifiLimited$400-700/yr

Modular stacks:

  • Booking: Calendly, Acuity, Zedule
  • Contracts: HelloSign / DocuSign / built into Pixieset
  • Galleries: Pixieset, ShootProof, Pic-Time
  • Payments: Stripe / Square

Booking page design

Different from most:

Layout for photographer booking page:

  • Hero with portfolio sample
  • Session types with detailed descriptions
  • Package details (1hr session $400 → 2hr session $700 → 4hr full-day $1,500)
  • Print-package add-ons
  • Location options (studio, outdoor, on-location)
  • Calendar for session date
  • Time selection (for golden hour, etc.)
  • Deposit collection
  • Customer info + intake form

Deposit collection

Standard photographer practice:

  • 25-50% deposit at booking
  • Non-refundable beyond cancellation window
  • Remainder due before/at session

The booking software needs:

  • Stripe / Square integration
  • Deposit calculation per service
  • Receipt + invoice flow

This rules out free-tier Calendly. Acuity Powerhouse, HoneyBook, or Zedule with Stripe handle this.

Session types (for photographers)

Common photographer service breakdowns:

Family / portrait:

  • 1-hour session: $300-500
  • 2-hour family + extended family: $500-900

Wedding:

  • Engagement: $400-800 (1-2 hr)
  • Wedding day: $2,000-8,000 (6-12 hr)
  • Full coverage + album: $5,000-15,000+

Newborn:

  • 2-3 hour studio session: $400-1,000

Headshots / branding:

  • 30-min mini: $150-300
  • 1-hour standard: $300-600
  • Branding day: $800-2,500

Real estate:

  • Per-property: $200-500
  • Day rate: $1,000-2,500

Each session type needs its own service entry with specific duration, deposit %, and intake form.

Pre-shoot intake

After booking, photographer typically wants:

  • Location preference if on-location
  • Outfit ideas / wardrobe
  • Family member names (for portraits)
  • Accessibility needs
  • Special requests

Send this as a follow-up form 2-3 days after booking, or as a Google Form linked from the confirmation email.

Post-shoot pipeline

Booking software doesn’t handle this; you’ll need:

Galleries: Pixieset, ShootProof, Pic-Time — $10-50/month

Contracts: HelloSign, DocuSign, or built into HoneyBook/Tave

Album / print sales: Pixieset’s built-in shop, Mpix, WHCC

CRM / pipeline tracking: HoneyBook (best for photographers), Tave, Studio Ninja

When HoneyBook makes sense

For a photographer doing 30+ shoots/year, HoneyBook saves time across the full pipeline:

  • Lead capture form on website → CRM
  • Contract → e-sign → signed contract on file
  • Booking → calendar → reminder → invoice
  • Post-shoot questionnaire → gallery delivery → feedback

Cost: $390-1,000/year. For full-time photographers, this pays for itself.

When Zedule makes sense for photographers

For photographers who:

  • Do under 30 shoots/year
  • Already use Pixieset for galleries
  • Use HelloSign / DocuSign for contracts separately
  • Want to reduce subscription bloat

Zedule + Pixieset + Stripe + DocuSign:

  • Zedule: $100/yr
  • Pixieset: $96-300/yr
  • DocuSign: $120/yr
  • Total: $300-500/year

vs HoneyBook all-in-one at $390-1,000/year.

Reminders for photographers

  • Booking confirmation: email with what-to-bring, location info
  • 1 week before: email with detailed prep info
  • 24h before: SMS — “Excited for tomorrow’s shoot at [location]!”
  • Day-of: SMS — “On the way, ETA [time]“

Cancellation policy

Standard photographer cancellation:

  • Beyond 30 days: full refund
  • 14-30 days: 50% refund
  • Within 14 days: deposit forfeit
  • Within 48 hours: full session fee

For weddings: deposits are typically non-refundable from booking date.
